We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative and operational support to theĀ  senior leadership team. The successful candidate will play a key role in managing executive priorities, coordinating cross-functional initiatives, and ensuring the smooth execution of day-to-day business operations.

The ideal candidate will serve as a central liaison between the internal departments, facilitating effective communication, tracking key initiatives, and supporting strategic projects. This role requires exceptional organizational skills, professionalism, discretion, and the ability to thrive in a fast-paced, dynamic environment.

Role Responsibilities

  • Manage complex calendars, scheduling meetings, conference calls, board reviews, and cross-functional discussions for senior leadership and key stakeholders.
  • Prioritize time-sensitive requests and coordinate with multiple departments to ensure effective use of executive time and alignment across business functions.
  • Act as a central point of coordination between the Chairman, executive leadership, and operational teams, ensuring seamless communication and timely follow-up on key initiatives.
  • Collaborate with department heads to monitor operational priorities, track project progress, and ensure action items are completed within agreed timelines.
  • Prepare, edit, and format reports, presentations, board materials, meeting agendas, minutes, and executive correspondence.
  • Maintain structured digital and physical filing systems, ensuring accurate document management, version control, and information accessibility.
  • Support strategic projects and operational initiatives by conducting research, gathering data, preparing analysis, and coordinating project milestones.
  • Facilitate cross-functional collaboration and assist in driving alignment on business objectives, operational improvements, and executive directives.
  • Monitor departmental updates, compile status reports, and provide leadership with clear visibility into ongoing projects and operational performance.
  • Handle confidential and sensitive information with the highest level of discretion, professionalism, and integrity.
  • Represent the executive office professionally in all internal and external interactions while maintaining strong relationships across the organization.
  • Provide ad hoc support for special projects, executive requests, leadership meetings, and company-wide initiatives as required.

Qualifications

  • Bachelor’s degree in Business Administration, Management, Communications, or a related field.
  • 3–5+ years of experience in an Executive Assistant, Operations Coordinator, Project Coordinator, or similar role supporting senior leadership.
  • Fluent in both English and Arabic, with excellent verbal and written communication skills.
  • Minimum typing speed ofĀ  with a high degree of accuracy.
  • Proven experience managing executive calendars, travel arrangements, meetings, and administrative operations in a fast-paced environment.
  • Strong organizational, time management, and multitasking skills, with the ability to manage competing priorities effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong attention to detail and ability to prepare professional reports, presentations, and executive documentation.
  • Ability to coordinate cross-functional initiatives, track action items, and ensure timely follow-up on key deliverables.
