Our Client is seeking a highly organized Property Administrator to support a busy property operations team. This is an excellent opportunity for an administrative professional who enjoys working in a fast-paced environment, managing multiple priorities, and providing exceptional customer service. The ideal candidate is detail-oriented, proactive, and comfortable handling a variety of administrative, operational, and customer-facing responsibilities. This position offers strong potential for long-term growth and permanent employment.

Responsibilities:

  • Provide administrative support including phone support, correspondence, filing, and report preparation
  • Schedule and coordinate meetings, events, and other team activities
  • Assist with tenant communications and service requests
  • Support lease administration activities and maintain accurate records
  • Prepare and coordinate service contracts, vendor documentation, and bid proposals
  • Process and code invoices for approval
  • Maintain contracts, certificates of insurance, and related documentation
  • Track contract and insurance expirations and ensure records remain up to date
  • Monitor and maintain work order tracking systems
  • Prepare monthly reports and documentation for leadership
  • Maintain purchase order records and related files
  • Assist with budget tracking, expense reports, and billing activities
  • Process timesheets and various administrative requests
  • Maintain office supplies and support day-to-day office operations
  • Build and maintain positive relationships with clients, tenants, vendors, and internal stakeholders
Requirements
  • 2+ years of administrative, office support, customer service, or coordination experience
  • Strong Microsoft Office skills, including Outlook, Excel, Word, and Teams
  • Excellent organizational and time management skills
  • Strong written and verbal communication skills
  • Ability to prioritize multiple tasks and meet deadlines
  • Ability to work independently and take initiative
  • High attention to detail and accuracy

Preferred Qualifications:

  • Accounts Payable or Accounts Receivable experience
  • Contract administration experience
  • Property management or commercial real estate experience
  • Experience supporting multiple stakeholders in a professional office environment
