The Admin team ensures smooth day-to-day operations across the organization, and focuses on enhancing workplace experience. They manage office services, coordinate logistics, and handle administrative tasks to support stakeholders in achieving their objectives.

Key Responsibilities

General Responsibilities

  • Operate and monitor Building Management Systems (BMS).
  • Ensure uptime and reliability of all critical infrastructure in the campus.
  • Coordinate with Builder, vendors, OEMs(Original Equipment Manufacturer) and internal stakeholders.
  • Ensure adherence to all administrative compliance requirements, internal controls, and safety standards.
  • Act as the primary point of contact for all audits from the administration function
  • Maintain technical logs, reports, and documentation.
  • Provide technical support to branch offices.
  • Ensure adherence to SLAs and Planned Preventive Maintenance.schedules.
  • Stay updated on industry best practices and trends in administration and facilities management.

BMS & Critical Infrastructure

  • Monitor HVAC, electrical systems, UPS, DG, and other utilities.
  • Track alarms and system performance.
  • Coordinate Planned Preventive Maintenance, breakdowns, and shutdowns.
  • Hands-on experience with Spectra,  and related systems

Electronic Security

  • Monitor access control and CCTV systems for uptime and compliance.
  • Trigger alerts and notify relevant teams on incidents or system issues.
  • Coordinate with security teams for incident handling and resolution.
  • Maintain incident logs and status updates.
  • SPOC for all ID card creation and distribution.

Vendor & Builder Coordination

  • Monitor builder, fit-out, and other campus-related activities within the premises.
  • Ensure all work is executed as per approved scope, drawings, timelines, and safety norms.
  • Coordinate work permits, access approvals, planned shutdowns, and after-hours activities.
  • Liaise with vendors and builders to minimize operational impact and ensure timely completion.
  • Handle and support retrofit works within the office premises and at other locations, as required.

Compliance & Audit

  • Ensure compliance with internal controls and statutory requirements.
  • Act as the single point of contact (SPOC) for internal and external audits.
  • Maintain audit documentation, action trackers, and timely closures.

Branch Office Support

  • Provide end to end technical support for branch offices.
  • Ensure standardization of BMS, electrical, and security systems.

Other Requirements

  • Monitor parking systems and boom barriers.
  • Coordinate maintenance and access control integration.
  • Manage AMCs for BMS, HVAC, Electrical, UPS, Access Control, CCTV, and boom barriers.
  • Track AMC renewals, SLAs, preventive maintenance, and service reports.

Specific Responsibilities

  • Analyze electronic security and  data to support planning, improvement, and decision-making.
  • Support setup and operations of corporate offices, branch offices, and other facilities.
  • Handle internal and external audits, including documentation and closure of observations.
  • Support budgeting, cost control, and efficient use of resources from a perspective..
  • Ensure compliance with internal policies, SOPs, and regulatory requirements.
  • Monitor statutory and contract labor compliance and support investigations, when required, to ensure good governance.

Must Haves

  • 7+ years of experience in Admin and facilities management or similar background
  • Analytical skills are required to provide accurate and actionable data regarding supply, demand, growth, alternatives, and recommended strategies for office space usage.
  • Employee productivity and workplace readiness
  • Responsible for maintaining a high standard of facility factors that directly impact employee productivity.
  • Manage time-to-time strategy to introduce the productivity enhancement tools in the facility.
